Effective Date: 25 June 2025

This Cookies Policy (the “Policy”) governs the use of cookies and related tracking technologies on the digital platforms associated with the Quantum Maritime Conference (the “Conference”), executed and managed by Vernewell Management Consultancies LLC, a limited liability company incorporated under the laws of the United Arab Emirates, with its registered office located at Dubai Real Estate Corporation, Office 442-9, F13 City Bank Building, Healthcare City, Umm Al Hurair Second, P.O. Box 414919, Dubai, United Arab Emirates (hereinafter referred to as “Vernewell”, “we”, “our”, or “us”). This Policy forms an integral part of our Privacy Policy and applies to all users accessing or interacting with our website, the QIS App, or other affiliated services (collectively referred to as the “Platform”).

Article 1 – Definitions and Scope
For the purposes of this Policy, “Cookies” means small data files or tracking elements placed on a user’s device, used to collect standard internet log information, behavioral data, and technical identifiers. This includes browser metadata, IP addresses, session identifiers, and system preferences. The Policy applies to all technologies performing similar functions, including but not limited to tracking pixels, beacons, HTML5 local storage, and server-side session logging.

Article 2 – Categories of Cookies Used
We deploy various categories of cookies on the Platform for operational, analytical, and functional purposes:
(a) Strictly Necessary Cookies: These are essential for the secure and effective operation of the Platform, including management of session logins, access authentication, and security configurations. These cookies are always active and cannot be disabled.
(b) Functional Cookies: These facilitate personalization, such as language selection, user preferences, and remembered settings, to enhance the user experience.
(c) Performance and Analytical Cookies: These enable us to evaluate usage metrics and user behavior across the Platform, allowing us to improve performance and tailor services. Such cookies may include identifiers used by analytics providers such as Google Analytics.
(d) Third-Party Cookies: These may be placed by third-party platforms integrated into the Platform, including but not limited to YouTube, LinkedIn, Spotify, Zoom, and QIS App service providers. Vernewell does not control these cookies and disclaims liability for their use.

Article 3 – Purpose of Use
Cookies are employed for the following purposes:
(i) To authenticate users and maintain secure access control across sessions and devices;
(ii) To optimize system performance, detect technical errors, and ensure service continuity;
(iii) To understand user navigation and behavior in order to improve functionality and content delivery;
(iv) To facilitate interactive and embedded third-party services (e.g., media streaming, social logins, and integrated conferencing);
(v) To enable secure hybrid participation and user authentication through the QIS App.

Article 4 – Consent Mechanisms and User Control
Users are notified of our use of cookies upon accessing the Platform and may manage cookie settings via browser-level controls or available opt-out links. By continuing to browse the Platform, users consent to the deployment of cookies in accordance with this Policy, unless restricted by law. Users may disable or remove cookies through their browser settings at any time; however, doing so may impair Platform functionality or restrict access to certain features. Users may opt out of analytics cookies by visiting the provider’s opt-out pages (e.g., https://tools.google.com/dlpage/gaoptout for Google Analytics).

Article 5 – Third-Party Cookies and External Services
Where the Platform integrates services provided by external vendors, such as media hosts or conferencing platforms, those third parties may independently deploy cookies under their own privacy and cookie frameworks. Vernewell does not accept liability for the data practices of such parties. Engagement with third-party content or embedded services is voluntary and subject to the respective terms, policies, and jurisdiction of the third-party provider. Users are encouraged to review such third-party terms before proceeding.

Article 6 – Duration and Retention
Cookies may be session-based (erased after the browsing session) or persistent (retained for a defined period). Retention periods vary depending on the cookie’s purpose and configuration. All data derived from cookies will be retained only for the period necessary to fulfill its stated purpose or as required by applicable law, after which it shall be deleted or anonymized.

Article 7 – Updates and Revisions
We reserve the right to amend this Cookies Policy at any time without prior notice. Changes shall be effective upon publication. Users are advised to periodically review this Policy to remain informed about how cookies are used.
